The Event Coordinator manages fundraising events from planning to execution. This role involves budgeting, venue selection, logistics, vendor coordination, and volunteer management. They ensure that events align with the organization's goals and provide a positive experience for attendees, maximizing fundraising potential.

Responsibilities

  • Develop and manage event plans, timelines, and budgets.
  • Select and coordinate with venues, vendors, and service providers.
  • Organize logistics, including registration, signage, volunteer needs, and event materials.
  • Promote events through outreach, marketing, and community engagement.
  • Monitor and track event performance, including attendance and fundraising outcomes.
  • Ensure events comply with safety, accessibility, and organizational guidelines.

Outcome/Impact

The Event Coordinator helps raise critical funds, increase BTA’s visibility, and engage volunteers, donors, and the community. Their efforts directly support trail maintenance, community programs, and conservation initiatives along Ohio’s Buckeye Trail.

Risks/Hazards

This position involves travel to venues, setting up event spaces, and interaction with the public. Volunteers should follow safety protocols and use caution when handling materials or equipment.

Term Limits

Two-year renewable term. Terms automatically renew unless circumstances require otherwise. We deeply value your time and your willingness to support the Buckeye Trail in a volunteer capacity. We do our best to check in as needed with new volunteers to ensure you have the tools and support you need to make a difference. As a volunteer, you understand that your service is entirely voluntary. At any time and for any reason, either you or the BTA may choose to end your volunteer service. A volunteer position may also be adjusted, in conversation with the relevant BTA staff member, to better suit either the needs of the BTA or the interests of the volunteer. The best way to ensure you're well supported and providing meaningful service is to stay in regular and proactive contact with your BTA volunteer point person, who will be introduced to you during the onboarding process.


Qualifications

  • Strong organizational, leadership, and project management skills.
  • Ability to coordinate multiple tasks and deadlines simultaneously.
  • Effective verbal and written communication skills.
  • Commitment of approximately 1–10 hours per month, increasing during event planning and execution phases.

Desired Skills

  • Experience planning or coordinating events, fundraisers, or community activities.
  • Budget management and vendor negotiation experience.
  • Familiarity with marketing, promotions, and community outreach.
  • Problem-solving and adaptability in dynamic environments.

Expectations

  • Maintain clear and timely communication with staff, volunteers, and vendors.
  • Represent the Buckeye Trail Association professionally at all events.
  • Create a positive, welcoming event experience and ensure events align with BTA’s mission, policies, and safety standards.
  • Track and report on event outcomes and fundraising results.
